Finding the Export Function in Eaglesoft#

Alternative methods:

  • Recall Wizard: Activities → Recall Wizard (for recall campaigns specifically)

  • Money Finder: Activities → Practice Management → Money Finder (unscheduled treatment)

Eaglesoft's right-click export is one of the most intuitive among dental software—no conversion step needed.

Exporting Patient Lists Step-by-Step#

Step 1: Open Reports#

From the main Eaglesoft menu, navigate to Reports.

Step 2: Select Patient Master#

Click the Patient tab, then select Patient Master.

Step 3: Configure Filters#

In the Patient Master dialog, set filters:

Step 4: Process Report#

Click Process to generate the report based on your filters.

Step 5: Preview Report#

Click Preview Report to see results before exporting.

Step 6: Export Data#

  1. Right-click anywhere on the report preview

  2. Select "Save Data As"

  3. Choose .csv or .xls format

  4. Select save location

  5. Click Save

Note: The exported file contains more columns than displayed in the preview—all available patient data fields are included.

Recall Wizard for Recall Campaigns#

For recall-specific exports, the Recall Wizard offers targeted filtering:

Filter options:

  • Recall type (Prophy, Perio, etc.)

  • Due date range

  • "Receive Recalls" preference

  • Exclude patients with scheduled preventive appointments

  • Provider filter

Export process:

  1. Configure filters

  2. Click Generate List

  3. Right-click → Save Data As → CSV

Advantage: Recall Wizard automatically filters to patients due for appointments, saving manual filter configuration.

Common Eaglesoft Export Issues#

Excel Protected View Blocks File#

Problem: Exported file won't open or shows security warning.

Solution: In Excel, go to File → Options → Trust Center → Trust Center Settings → Protected View. Disable "Enable Protected View for files from the Internet."

CSV Opens in Single Column#

Problem: All data appears in one column when opening CSV.

Solution: Use Excel's Text Import Wizard instead of double-clicking:

  1. Open Excel

  2. File → Import → CSV

  3. Select "Delimited" and comma separator

ZIP Codes Missing Leading Zeros#

Problem: Northeast ZIP codes show as 4 digits (1234 instead of 01234).

Solution: Before opening CSV in Excel, set ZIP column to Text format via Text Import Wizard. See ZIP code formatting fix for detailed steps.

"Receive Recalls" Not Filtering#

Problem: Export includes patients who opted out.

Solution: In patient Preferences, verify the "Receive Recalls" checkbox is properly maintained. Run a report to identify patients without preference set.

Report Takes Too Long to Generate#

Problem: Processing hangs or takes excessive time.

Solution: Add more restrictive date filters. Instead of "all time," limit to the last 2-3 years of patient activity.

Frequently Asked Questions#

What permissions do I need for exports?

You need access to the Reports security zone. Contact your Eaglesoft administrator if export options are unavailable.

Can I filter by responsible party for household mailings?

Yes. In the "Marked As" dropdown, select "Responsible Party" instead of "Patient" to get one record per household.

How do I export only patients without scheduled appointments?

Use the Recall Wizard and check the option to exclude patients with scheduled preventive appointments.

Can I save report configurations?

Yes. After setting filters, you can save the report configuration for reuse. This speeds up monthly exports.

Is there an Eaglesoft cloud version?

No. Eaglesoft is desktop-only software. There is no cloud or web-based version currently available from Patterson.
