To send a paper letter from India to the USA, prepare the envelope, get a quote for International Letter Post to the United States, and book the suitable service at a Post Office. Add registration or investigate EMS when your document needs a different mailing record or service. If a printed copy is acceptable, you can also arrange printing and mailing inside the US.

The practical choice is whether you must move the paper you hold in India or can have a new copy made. Settle that first, then use the steps below to price and book the right item.

An envelope with two sheets: size, cost and delivery#

For this example, put two folded sheets in a 220 × 110 mm envelope with no extra enclosures. The quote below is for a sealed letter weighing 20 g, sent from New Delhi to the USA. Weigh yours rather than assuming two sheets always weigh the same.

  • Size: That envelope exceeds India Post’s minimum 140 × 90 mm face size. Keep it flat and securely closed; measure the filled envelope, not just the paper.
  • Postage: ₹48 total for International Letter in India Post’s calculator: ₹40 base postage plus ₹4 CGST and ₹4 SGST. Registration and other extras are not included; check the total for your actual weight before paying.
  • Delivery: Ask India Post for the current USA estimate before booking. If you have an arrival deadline, compare EMS and confirm the service’s delivery terms rather than relying on ordinary-letter timing.

Choose ordinary letter post, registration or EMS#

India Post’s international-services page (opens in new tab) identifies International Letter Post and EMS among its services. Its current booking guidance says letter-post items can be booked at Post Offices across the country. The specific product and US destination still need to be accepted when you book.

What you are sending
Your booking request
An ordinary personal letter with no required mailing record
Ask for the available International Letter Post option to the United States and its full postage.
A document for which you need a recorded mailing service
Ask about international registration and the receipt, tracking or other record available for that US-bound item.
A time-sensitive original document
Compare the current EMS document option and its delivery estimate with the recipient’s deadline.
A document the recipient accepts as a printed copy
Compare the physical postal route with a service that prints and mails inside the US.

Show any precise service or receipt requirement to the clerk. Do not buy registration solely because the word sounds safer, or treat it as a substitute for a named service the recipient has requested.

Prepare the paper and both addresses#

Print or write the final letter and gather every enclosure. An original signature must travel on its original sheet if that is what the recipient requires. Describe any goods separately; placing an object in an envelope does not make it paper correspondence.

Write the US delivery address from the recipient’s current instructions, including any apartment, suite or department. This fictional example shows the layout; replace every sample detail:

ALEX MORGAN
123 EXAMPLE ST APT 4
BOSTON MA 02108
UNITED STATES OF AMERICA

India Post’s international addressing guidance (opens in new tab) calls for a complete address in Roman letters and the destination town and country in capitals. Add your own full Indian return address, including its PIN code and country, clearly distinguished from the recipient. The US envelope guide covers US address components.

Use an envelope that holds the contents securely. Measure and weigh it with the pages inside. Bring the recipient’s address, your return details and any special instructions to the counter; if you are unsure whether an enclosure is acceptable, have it assessed before final sealing.

Get the current postage using the right inputs#

Open India Post’s Calculate Postage tool (opens in new tab). Use the international route, the United States destination, your actual origin PIN code and the finished letter’s weight. Select the letter or document service appropriate to your contents and add only the features you need.

Compare the total payable, not just a base-postage figure. Keep optional registration or receipt charges and any applicable taxes in the comparison. If the online tool does not return a clear US letter result, take those same inputs to a Post Office; a parcel or another country’s result is not a substitute.

For example, a fictional sender in New Delhi has a personal letter for a friend in Boston. The friend accepts an ordinary paper letter and requests no special record. The sender enters the actual New Delhi origin PIN, United States destination and finished-envelope weight, then asks for the current ordinary letter-post quote. There is no reason to add a receipt service merely because it appears as an option.

For an original document with a requested acknowledgment, keep the same envelope measurements but change the service question: which available product supplies the required record, and what is its total? If the document is urgent, obtain the current EMS estimate as a separate option. Do not compare a basic letter quote with an express quote as if the service were identical.

Book the item and leave with the right receipt#

At the counter, use this short request with your own details: “This envelope contains paper correspondence for the United States. Please quote the available letter service for its finished weight. I need [ordinary postage / the specific record requested by the recipient]. Please include all applicable charges and tell me what paperwork to complete.”

Check the recipient’s address and selected service before paying. Complete the documentation required for those contents and that product. Keep the booking receipt and any article identifier you receive; use that identifier for the service’s tracking or inquiry route where available. Purchasing postage or preparing an online booking does not itself hand the envelope to India Post.

If there is a deadline, establish whether the recipient means arrival or posting, then compare the current carrier estimate with that requirement. A historical service-resumption announcement cannot establish today’s dispatch conditions, so use the current booking result and any destination notice.

Mail an accepted copy without posting from India#

When the recipient accepts a printed PDF, US production removes the need to print and post the copy in India. It is unsuitable when you need to transport the original paper or an enclosure. The abroad-to-USA mailing guide explains that choice in more detail.

Postmarkr requires a usable US return address you are authorized to use. Arrange permission and a way to handle returned mail before using a contact’s address. An Indian reply address inside your letter can tell the recipient where to write, but does not satisfy that mailing requirement.

Prepare a PDF for US Letter printing and inspect the document and address-page preview. For an A4 file, use the fit-to-US-Letter option if Postmarkr offers it, then review the fitted pages. If the option is unavailable, export a US Letter version yourself and inspect the layout before uploading. Review the actual checkout total and payment acceptance. Certified Mail is not currently offered for new sends.

Keep the sending record together#

Save your final letter, the recipient’s instructions and the postal or print-and-mail receipt. Note which service you bought and retain the identifier it supplies. You should be able to say what you sent, where it went and which record confirms the handoff—without confusing a saved file with proof of posting.
