Can ChatGPT send a letter?#
No. ChatGPT can draft and format a letter, but it cannot print it, add postage, or hand it to USPS. To mail the letter, export a PDF and either print it yourself or upload it to a print-and-mail service.
The prompt that makes the letter print-ready#
Before you paste anything: Don't give ChatGPT Social Security numbers, account numbers, medical details, or confidential client or case material.
Use placeholders like [ACCOUNT NUMBER] instead. Replace every placeholder in the exported document before mailing.
Copy this prompt, then replace the final placeholder with your draft or a description of the letter you need.
Turn the letter below into a formal US business letter.
Layout
- My name and address at the top, then the date
- The recipient's name and address, then the salutation
- Single column, plain text only — no markdown symbols, no bold, and no bullet points unless my letter already has them
- A sign-off block with space for a signature above my typed name
- Keep it to one page unless the content genuinely needs two

The prompt is strict on purpose:
- Plain text, no markdown — asterisks and hash marks can survive copy-paste and end up printed. Plain text exports cleanly.
- The do-not-invent rule — a made-up deadline or paraphrased dollar amount is worse than a blank, so missing facts stay visible as [PLACEHOLDERS].
- Preserve exactly — ChatGPT may otherwise "improve" a name, reference number, date, or amount that must remain unchanged.
- The address blocks are letter formatting, not delivery. Enter the envelope address separately when mailing. Postmarkr verifies that address against USPS data before printing.
Chat output has no page size. Set 8.5 × 11 paper and 1-inch margins when you export.
Turn the reply into a PDF#
The most reliable app-agnostic path:
- Copy the finished letter out of the chat.
- Paste it into Google Docs, Word, or Pages.
- Set the page to 8.5 × 11 with 1-inch margins.
- Check that placeholders are gone, text wraps correctly, and signature space remains.
- Export to PDF from the File menu.

Choose how to print and mail the letter#
Once the PDF is ready, choose the route that matches the equipment you have and the proof you need:
- No printer: Upload the PDF to an online print-and-mail service. Enter the recipient, review the order, and let the service handle printing, postage, and USPS handoff.
- Printer and supplies available: Print the PDF, sign it if needed, fold and address the envelope, add postage, and place it in a mailbox.
- Special proof or handling required: Confirm the required method before sending. First-Class Mail is not interchangeable with Certified Mail, a return receipt, or signature proof.

What ChatGPT can't do (read before you send)#
Three limits, stated plainly:
- ChatGPT cannot complete the physical mailing by itself. Printing, postage, and USPS handoff still require you or a separate service.
- It cannot confirm that you supplied the right recipient. Address verification can catch some formatting and deliverability problems, not recipient identity.
- It can invent or alter details. Compare every address, date, amount, deadline, reference number, and legal citation with the source.
Before you mail it, check seven things:
- Every [PLACEHOLDER] is replaced with the real detail.
- Every name, date, amount, deadline, and citation matches the source you supplied.
- You selected the correct PDF, recipient address, and return address.
- Any required signature or enclosure is present.
- You opened the exported PDF and checked every page for cut-off text, page order, and unexpected blank pages.
- Read the letter aloud once. This often reveals wording that sounds harsher, less clear, or more formal than intended.
- Confirm the required mailing method. First-Class Mail is not a substitute when a rule requires Certified Mail or signature proof; the certified mail guide explains the distinction.
Review the final PDF, not only the text inside ChatGPT. That file, address, and mailing method are what will actually be sent.
