When you physically post a letter to the USA from another country, keep the recipient’s US address intact and add the destination country on a final line. Your return address identifies the overseas location where you want the envelope returned. Follow the postal operator accepting the piece for its country-name and envelope instructions.

If you upload the letter to be printed and mailed inside the US, you are preparing a different route. Postmarkr requires a US return address for that route. Living overseas does not turn a US-produced letter into a foreign-origin envelope.

Start with the country where the paper enters the mail#

A letter handed to Royal Mail in London is UK-origin mail. A PDF uploaded from London and printed for mailing inside the US starts its physical postal journey in the US. Choose the instructions for the paper’s mailing origin.

For foreign-origin post, use your local carrier’s instructions for international destinations. Royal Mail’s USA guidance (opens in new tab) puts the country name on the last line in capitals and permits “USA.” Canada Post’s US-address guidance (opens in new tab) should be read alongside its international guidance to spell out the country name. For the US, that means “UNITED STATES OF AMERICA.” Use the form your accepting postal operator recommends.

Do not replace the recipient’s city or state with “USA.” The country line identifies the destination country; the lines above it identify the delivery point within that country. Copy all of them from the address the recipient actually supplied.

Build the delivery block, then add the country line#

These fictional lines illustrate a UK-origin delivery block. They are not a verified address and must not be used to send mail:

Recipient line: MORGAN LEE

Street line: 123 EXAMPLE STREET

City, state and ZIP line: BOSTON MA 02110

Destination country line: USA

For a Canada-origin version of the same fictional example, the final line would read UNITED STATES OF AMERICA, following Canada Post’s guidance to spell the country name in full (opens in new tab). Canada Post also specifies two spaces between the state abbreviation and ZIP Code; leave that gap on your envelope. The recipient’s US street, state and ZIP remain the same. You are adapting the country line to the origin carrier’s guidance, not translating the street address.

Preserve any additional building or department details the recipient supplies. Ask them to clarify an incomplete or contradictory line.

Our domestic envelope-addressing guide covers placement, apartments, attention lines and PO Boxes. Use it for those details. The task here is adding the international country information and separating the overseas sender block from the US delivery block.

Give the return block its own country#

A foreign-origin envelope has two countries for two different reasons: the destination country belongs at the end of the delivery block, and the sender’s country belongs with the foreign return address. Do not append your own country to the recipient block.

Suppose a sender physically posts the letter from the UK. This is a fictional return-address example, not a deliverable address:

Sender: ALEX RIVER

Street: 24 EXAMPLE LANE

City and postcode: LONDON SW1A 1AA

Sender country: UNITED KINGDOM

The recipient block ends in USA; the sender block ends in UNITED KINGDOM. For another origin country, use your real sender address and its postal format.

Use a location where returned mail can be handled. If you are traveling, confirm that arrangement before posting rather than relying on a hotel you are about to leave.

Keep reply instructions separate from the envelope address#

If you want a reply by email or to another correspondence address, put those instructions inside the letter. Do not scatter competing addresses across the envelope front. Follow any recipient instructions about a department or reference number.

For the US delivery block, USPS readability guidance (opens in new tab) recommends a complete address, dark ink on a light background, consistent alignment and uppercase letters. Clear formatting cannot make an incomplete or invented address valid.

Check the different requirements of US printing#

With Postmarkr, enter the delivery address and a usable US return address in the mailing form. The service adds a separate address page. You do not need to build an international envelope layout into your uploaded letter merely because you are outside the US.

Use only a US return address you are authorized to use. Do not enter a fictional example or a random business to satisfy the requirement.

If a trusted US contact permits you to use their address, agree who will receive returned mail and how they will tell you about it. Keep your actual overseas correspondence details in the letter where appropriate. That preserves the distinction between where a returned envelope goes and how the recipient contacts you.

Without a usable US return address, physically posting from your country may fit better. The abroad-to-USA mailing guide explains that choice.

Read both address blocks before handoff#

Check the delivery and return blocks separately against the intended recipient and return arrangement. For foreign-origin post, each needs its own country information.

Use the recipient’s original instructions, not a sample envelope. For US printing, inspect the generated address page and the US return address. Once both blocks are correct, follow your route’s postage and handoff instructions.
