Mailing service for executive assistants

Your executive signed it. We mail it. You keep the copy.

Send mail on behalf of your executive from wherever you are, under their return address; nobody makes a post office run. Download a PDF of exactly what printed and follow its status. USPS First-Class, $2.05 for one page. Printed the next business day following payment.

Lost in the mail? We resend for free

Letters go through us. Here's where the rest goes.

Most of an assistant's outgoing mail isn't a letter. For the letters, here's what we do; for everything else, the right tool.

We do

Letters, printed and mailed First-Class

Letters your executive signed or approved, printed from a PDF or a saved letter template, black and white or color, one or both sides, to U.S. addresses. We add an address page in front for the envelope window.

  • Their return address in the top window, chosen from your saved addresses
  • One letter, up to 10 different letters in one checkout, or one letter to up to 100 people from a spreadsheet
  • A PDF of exactly what printed to download and forward, and a status timeline with USPS scan updates when available
  • $2.05 for a one-page letter with postage, paid per letter; no subscription
We don't

Better sent another way

Postmarkr doesn't send Certified Mail or get you a postmark dated today. It doesn't print cards or write notes by hand, doesn't ship packages or overnight, and doesn't receive or scan your executive's incoming mail. Use these instead:

  • Certified Mail or a postmark dated today: a post office counter, where a clerk will hand-postmark a letter for free
  • Holiday cards and handwritten notes: a card or handwriting service; the same message can go through us as a signed, printed letter
  • Packages, gifts and overnight documents: your office's courier account
  • Incoming mail: USPS mail forwarding or a virtual mailbox that scans it

Questions

Questions from the assistant's chair

Can I send a letter for my boss with their return address?

Their name and address can be the return address on every letter you send for them. To send mail on behalf of your executive, save their address in your Postmarkr address book and choose it as the return address; your own default fills in until you pick another. It prints on the address page we add in front of the letter and shows in the envelope's top window. Mailing for more than one executive? Each letter in your Cart keeps its own return address, and each Bulk Send batch uses one.

Can it be signed for them?

We don't sign anything, and a letter can't be signed after it's uploaded. Your executive signs first, on paper and then scanned, or in an e-signature tool. If they've approved a signature image or a “p.p.” sign-off for letters like this, put it in the PDF, or in a saved letter template, which accepts images. The letter prints as it looks in your preview.

How do I show my executive it went out?

Each letter has a status page in your Postmarkr dashboard showing each step: paid, sent to print, printing, then USPS scan updates when available. A letter can be in the mail before its first scan shows. Download the PDF of exactly what was printed and send it with the status, or forward the emails: a receipt when you pay, and another when the letter is sent to print. That record isn't Certified Mail or a Certificate of Mailing, and it doesn't show a USPS-confirmed mailing date. If USPS confirms a letter was lost, we'll resend it for free.

What happens after you pay

What if the recipient needs it Certified?

Then send it from a post office, not through Postmarkr. We mail USPS First-Class letters only: no Certified Mail, no return receipt, no Certificate of Mailing and no USPS-confirmed mailing date. If a contract, agency or notice asks for any of those, or for a postmark dated today, take the letter to a post office counter. A clerk will hand-postmark it for free, or sell you Certified Mail there.

What each USPS record shows and costs

Do you do holiday cards?

Not cards. We don't print on card stock or write by hand, and everything we mail arrives as a letter in a window envelope with a printed address page. What we can mail is your executive's year-end message as a signed, printed letter: one signed PDF to the whole list, or a letter template that greets each person by name from a spreadsheet, up to 100 people per batch. For cards or handwritten notes, a card or handwriting service is the better fit.

Set up one letter for a whole list

Can I send 40 different letters at once?

40 different letters take 4 checkouts: add each PDF to your Cart with its own recipient, and pay for up to 10 at a time. If it's one letter going to 40 people, Bulk Send takes it in one batch. Use the same signed PDF for everyone, or a letter template that fills in each name from a spreadsheet, up to 100 recipients and $1,000 per batch.

Bulk Send, start to finish

How much does it cost, and when is it mailed?

$2.05 covers a one-page black-and-white letter: printing, the address page we add, the envelope, USPS First-Class postage and the processing fee are all in that total. Two pages are $2.26, three are $2.47, and one page in color is $2.52. You see the exact total before you pay by card. Printed the next business day following payment, then mailed; USPS estimates 1–5 days for First-Class delivery. Letters go to U.S. addresses only.

Who sees the letter?

Your documents are processed automatically. We never read or review the content of your mail. Our print partner prints and mails each letter. In Postmarkr, your letters, their status and the printed PDFs are visible to whoever signs in to your account; you can't invite your executive or another assistant as a separate user.
