Word's mail merge, Clio's document templates and an Outlook contact list all stop at the same place: a stack of finished letters on your screen and a Print button. Getting fifty of them into envelopes with the right address showing, First-Class postage on, and a copy in each matter file is the half nobody's guide covers. Here are two ways to do that half from a laptop with Postmarkr, what the spreadsheet has to look like, and what you get back for each client.
This is the mailing job, not legal advice: what the letter must say, and whether a rule calls for Certified Mail or a certificate of service, is the lawyer's call.
The merge is the easy half#
A mail merge has three parts: a letter with gaps, a list with one row per client, and fields that connect the two. Word fills the gaps and produces one letter per row. That is where every merge guide ends.
Where the official guidance lives: Microsoft's mail merge overview (opens in new tab), personalized letters (opens in new tab) and Excel data source (opens in new tab) pages cover the main document, the data source (an Excel sheet or your Outlook contacts) and Finish & Merge; none goes past Print Documents (checked October 13, 2026). Clio's guide, Mail Merge Legal Documents in Word and Excel: Lawyer's Guide (June 2026), adds the law-office checks (the same field names in every template, no blank cells in required columns, a column per party). Clio Manage's document templates do the same from matter data.
None of them print, stuff, stamp or log anything. From here you have two routes.
Route A: merge in Word, mail one PDF per client#
Use this when the letters are already merged, when each one is signed differently, or when there are a handful of them.
- Finish the merge to a document, not the printer. Choose Finish & Merge > Edit Individual Documents. Word opens one long document with each letter in its own section.
- Make one PDF per client. Save as PDF gives one combined file; print one section at a time to PDF, or run it through a splitter, and name each file for the matter.
- Check the first page. Letterhead and signature print as-is; by default we add an address page in front, so nothing has to line up with a window. Enclosures go behind the letter in the same PDF.
- Upload, address, pay. Upload each PDF, pick or type the client's address (checked against USPS), approve the preview and total, and pay. To pay once for several, add up to 10 PDFs to your Cart.
If the letter is identical for every client, with nothing merged, skip the merge: upload the one PDF to Bulk Send with a CSV of addresses and send it to up to 100 clients as a shared document.
Past a dozen letters, Route B is less work.
Route B: skip Word and merge in the letter template#
Use this for letters your office sends to many clients in the same form. The merge happens on our side, from a saved letter template and your CSV.
- Build the template once. Start blank in the letter editor or import the firm's Word letter as a .docx (Word's field codes don't carry over). Then put a field wherever Word had a merge field, written as
{{field_name}}: letters, digits and underscores, starting with a letter, up to 50 characters, up to 20 fields per template. - Name the greeting field
salutation_name. Notrecipient_name: the import readsrecipient_nameas the envelope's name column, so the field would collide with the address. - Export the client list from Clio, your practice-management system or Outlook as a CSV, trim it to the clients who get this letter, and add one column per field.
- Open Bulk Send, pick the template, upload the CSV. If a header doesn't match a field name, map the column on screen or ignore it. A sample CSV with the right headers is there to download.
- Approve one proof, pay for the batch. Each batch takes up to 100 recipients and $1,000, so split a longer list into several files. A one-page black-and-white letter is $2.05 all in, so 100 of them is $205.00, paid by card once per batch. Printed the next business day following payment, and USPS estimates 1–5 days for First-Class delivery, so set any reply-by date from the slow end of that window; put it in a CSV column and give every row the same value, so the whole batch shares one.
A template with fields can't go out through single send, even for one client; a one-row CSV through Bulk Send works. Here is the skeleton most client letters fit:
{{letter_date}}
Re: {{matter}}
Our file: {{file_no}}
Dear {{salutation_name}}:
{{body_paragraph}}
{{next_step}} If you have questions, call
[phone] or email [address].
Sincerely,
{{sender_name}}
[Firm name]{{body_paragraph}} and {{next_step}} are full sentences in the CSV, up to 512 characters each. Anything longer, or a list that varies in length, belongs in the template's fixed text or in a PDF sent by Route A.
The CSV: columns, aliases and what breaks#
Six address columns carry the envelope (plus optional company); every other column is a field. The import reads the first 25 columns of the file, trims and lowercases headers, and treats spaces and hyphens as underscores, so Address Line 1 and address_line1 are the same header.
The Bulk Send CSV
Column | Required | Also read as | Limit |
|---|---|---|---|
name | Yes | full_name, recipient_name, recipient | 40 characters |
address_line1 | Yes | address, address1, street, line1 | 64 characters; line 1 + line 2 together 50 |
address_line2 | No | address2, line2, apt, suite, unit | 64 characters; line 1 + line 2 together 50 |
city | Yes | city only | USPS-checked |
state | Yes | st, province | Two-letter code |
zip | Yes | zip_code, zipcode, postal_code | 12345 or 12345-6789 |
company | No | organization, org | 40 characters |
each template field | Yes, every row | mapped on screen if the header differs | 512 characters |
What stops a batch, in the order you'll meet it:
- A blank cell in a field column. Every field is required in every row. The import names the row and column. Write "None." rather than leaving a cell empty.
- A cell over 512 characters. Shorten it or move the text into the template.
- A field called
recipient_name. The import reads that heading as the envelope's name column, so the same cell would print on the envelope and in the greeting. Name the greeting fieldsalutation_name. - A name over 40 characters, an address line over 64, or both address lines over 50 together. Long firm names go in
companywith the person inname; abbreviate (Street to St, Suite to Ste, Building to Bldg) before you split a long address across two lines. - ZIP codes that lost their leading zero in Excel. Format the ZIP column as text before you export; the import needs
02134, not2134. - An address USPS can't deliver to. The row comes back flagged; often the client moved. Fix it or leave it out, then import again.
- More than 100 valid rows. Split the file. Three hundred clients is three files, three proofs, three checkouts.
For the general version of this batch, with a monthly example and the spreadsheet-versus-API decision, see how to automate mailing letters from a spreadsheet.
Proofing, and what comes back for each client#
Before you pay, Bulk Send renders a proof of the first valid row's letter. Read it whole, and check whether the longest field in your file would push a letter onto a second page.
After payment, each client gets a separate letter and a separate record. Each letter has a status page in your Postmarkr dashboard with mail-stream status and USPS scan updates when available. We email you when it's sent to print, and you can download a PDF of exactly what was printed for the file. That record isn't a Certificate of Mailing and doesn't show a USPS-confirmed mailing date. If USPS confirms a letter was lost, we'll resend it for free. Mail returned as undeliverable because of an incorrect or incomplete address is not eligible for a refund or free resend; it comes back to the return address you chose for the batch.
Postmarkr sends USPS First-Class letters only. It doesn't send Certified Mail, doesn't issue a Certificate of Mailing (PS Form 3817), can't give you a USPS-confirmed mailing date, doesn't include a return envelope, and can't enclose a check or an original. If a statute, rule, contract or court order calls for one of these, use a post office counter or a Certified Mail provider for that leg; the Certified Mail alternatives guide lists what each USPS option records. Postmarkr makes no HIPAA commitments, so don't use it for mail that needs them.
Which law-office letters this fits#
The template-plus-CSV route fits any letter where the structure is fixed and only names, dates, figures and one or two sentences change:
- Client notices about the firm: an attorney leaving, an office move, a new billing contact; one template, the open-matter list, a reply-by date.
- Closing letters: the closing letter with a file-retention notice template merges the outcome, balance statement, original documents and file-destruction date per client.
- Estate and trust notices: notices to creditors, or a trustee's notification to beneficiaries and heirs, once the lawyer has confirmed that ordinary First-Class Mail is a permitted method; the date the notice must carry goes in a CSV column.
- Demand and reminder letters to a run of tenants, vendors or policyholders, where the amount and the deadline are the only variables.
For discovery or court papers served by mail, the person who mails them usually signs a certificate; see certificate of service by mail.
The record for the matter file#
Keep four things, and keep them where the matter file lives, not in the mail app:
- The CSV you uploaded, named with the date and the template, because it is the only list of who got the letter and what each field said.
- The proof PDF you approved, as the version of the template that went out.
- Each client's printed PDF, downloaded from the letter's status page into that client's file. It shows exactly what was printed and mailed.
- A mail log entry per letter: date paid, date sent to print, and the USPS scan dates copied from each letter's status page when they arrive. The law firm mail log template on our postmark guide has the columns, with a line for the record each letter can and can't show.
