A letter to the USA can leave Canada as a physical envelope through Canada Post, or be produced from a PDF by a service that prints and mails inside the US. The first route carries your paper across the border. The second creates a new printed copy near the destination’s postal network.

Use the physical route if the recipient needs the original document. If a printed copy is acceptable, compare the complete cost and practical requirements of both routes. US printing is only an option when you can satisfy the service’s return-address and payment requirements; it is not automatically faster or cheaper.

Decide whether you are sending correspondence or merchandise#

Before you choose postage, describe what is actually in the envelope. Canada Post’s current shipping-to-US guidance (opens in new tab) distinguishes documents with no commercial value from merchandise. A paper item can be merchandise: its guidance gives books and trading cards as examples. The envelope alone does not determine the classification.

This creates a useful first check. “A letter with an invoice” and “a letter with a collectible card” are different mailing tasks, even if the envelopes look similar. Give the contents description when asking for service advice. Do not describe an enclosure simply as paper if its value or purpose changes how it must be sent.

Canada Post’s Letter-post overview (opens in new tab) is the starting point for correspondence mailed in Canada to destinations outside Canada. Check its current eligibility and size guidance before buying postage. If the contents do not qualify, choose the appropriate alternative rather than trying to fit them into a letter rate.

Get a quote for the envelope you will hand over#

Use Canada Post’s Find a Rate instructions (opens in new tab) to work with the actual origin, US destination and letter details. The finished envelope matters: count the cover letter and enclosures, choose the envelope, then measure and weigh the piece.

If you already have stamps, check their total postage value against the applicable rate for that finished piece. A remembered rule such as “use a couple of stamps” is not a quote. The rate can depend on format and weight, and the postage you own may not match the amount required.

At a postal counter, say what record you need as well as where the letter is going. For example: “I need to send these documents to this US address. Please confirm the eligible services, the total price and whether I will receive a mailing or delivery record.” Keep the answer with the document instructions. A service name you recognize from domestic Canadian mail is not enough to establish its availability or features for the US route.

Use a current quote for your exact envelope, including any requested extra service; a different weight or format can change the postage.

Use Canada Post’s US address format#

Canada Post has specific guidance for US addresses (opens in new tab). Copy the recipient’s name, street, city, state and ZIP from the supplied mailing instructions, then put the destination country on its own final line. Use UNITED STATES OF AMERICA, the full country name, following Canada Post’s international country-name guidance.

A fictional formatting example follows. It is not an address verified for delivery:

Recipient: TAYLOR REED

Street: 123 EXAMPLE ROAD

City, state and ZIP: CHICAGO IL 60601

Country: UNITED STATES OF AMERICA

Canada Post specifies two spaces between the state abbreviation and ZIP Code; leave that gap on the envelope even if this page displays it as a single space.

Your Canadian return address identifies where the physical Canada-origin piece should come back. Use the actual address you want for that purpose, and follow Canada Post’s envelope guidance. If you are temporarily staying somewhere, confirm you can receive returned mail there rather than copying an address that will stop being useful when you leave.

For apartment, business and other domestic address details, use our envelope-addressing guide. The country line is the added international-origin detail; it does not replace the recipient’s state or ZIP.

Check customs using contents and service together#

Canada Post’s required customs documentation page (opens in new tab) says Letter-post documents of no monetary value do not require customs documentation. That is a specific statement about eligible documents and that service, not a rule for everything inside an envelope.

Its customs declaration guidance (opens in new tab) requires a declaration for merchandise going to the US or another international destination. Check the current requirements if you include goods or use a different shipping product.

A practical way to avoid an unsuitable purchase is to list the contents before visiting the counter: correspondence, accompanying documents and anything else. If something is difficult to classify, show or describe it. Do not let the fact that the recipient calls the whole package “paperwork” substitute for the carrier’s contents rules.

US printing changes the origin and the return arrangement#

If the recipient accepts a printed copy, Postmarkr can print your uploaded PDF and arrange US letter mailing. The paper begins that journey in the US. You do not prepare a Canada-origin envelope for the uploaded file.

Postmarkr requires a usable US return address for letters. Your Canadian address does not meet that product requirement, so arrange an authorized US return address before ordering. Only use an address you are authorized to use, with an arrangement for handling returns. If you have no such address, the Canadian physical-mail route may be the workable option.

You can include your Canadian correspondence details within the letter when the recipient needs them. Keep that contact information distinct from the US return address used for the mailed piece. A reader replying to the content and a carrier returning an undeliverable envelope are solving different tasks.

Prepare the final PDF using US Letter page dimensions and inspect the mailing proof. Postmarkr adds a separate address page; check your content and the address page together. Review the full checkout price and confirm that your payment method is accepted before placing the order.

An upload cannot include the original signature on the page in your hand or a physical enclosure. Postmarkr also does not currently offer Certified Mail. If the recipient specifies an original or particular mailing service, confirm a suitable route before paying.

Keep a record that answers the recipient’s question#

Ask what you might need to establish later: the exact file sent, postal acceptance, progress in transit, or receipt by the addressee. Those are separate questions. Save the finished document and whatever carrier or service records your chosen method supplies. Do not substitute a checkout receipt for confirmation of postal handoff.

For costs, compare the Canadian route’s supplies and postage with the US printing checkout total and any applicable payment conversion charges. For timing, include local preparation and collection on one side, processing and printing on the other, then the respective transit estimates. Neither “online” nor “international” establishes the outcome on its own.

If you are still deciding between moving the original and producing a copy, the abroad-to-USA mailing guide sets out the broader decision. Once you have the recipient’s requirements, choose the eligible service, confirm the complete quote and save the document and mailing records together.
